Do freelancers need QuickBooks? Only if the job you need is accounting. If the job is “get paid, track expenses, and not show up empty-handed in April,” many independent contractors never log into a general ledger.
QuickBooks is strong, widely used by accountants, and the wrong default for every photographer or copywriter who just needs a clean invoice. Round’s position is explicit in the freelance finance guide: invoices and expenses, not a QuickBooks replacement. Read the deeper product comparison at Round vs QuickBooks.
The short answer
You need a system for invoices, expenses, and records the IRS expects you to keep. That system does not have to be QuickBooks. The U.S. Small Business Administration emphasizes tracking money in and out — not a specific brand (SBA: Manage your finances).
When you do need QuickBooks
- Your CPA (or bookkeeper) already reconciles a QuickBooks file for you
- You have employees or need payroll filings
- You sell inventory and need cost of goods sold in a ledger
- You want bank feeds and month-end reconciliation as a ritual
- You run multiple entities or classes that a simple profit view cannot express
If those bullets describe you, buy the accounting tool. Trying to stretch an invoicing app into a ledger is how messy books happen.
When you can skip it
- You are a solo with a handful of clients and no payroll
- A CPA files from exported invoices, categorized receipts, and a P&L
- Your pain is unpaid invoices and lost receipts, not trial balances
In that case, use freelance finance: send invoices, scan receipts, glance at profit, export CSV. Pair it with the tax estimator so quarterly payments are planned. That is enough for a large share of independents.

If you outgrow freelance finance
Export invoices and expenses, give the files to your accountant, and open QuickBooks or Xero when the ledger is the product you need. You do not have to start there. Many people also evaluate FreshBooks alternatives or Wave alternatives on the way — still matching tool to job rather than defaulting to the most famous logo.
